Job Description

We are seeking a highly organized, detail-oriented, and proactive Virtual Supply Chain Assistant to join our dynamic team. In this remote role, you will play a crucial part in supporting our supply chain operations, ensuring smooth workflow and efficient management of materials from suppliers to our manufacturing facilities and distribution centers. You will work closely with various departments, including purchasing, logistics, and inventory management, providing critical administrative and data-driven support. This position requires a self-starter with excellent communication skills, a knack for problem-solving, and the ability to thrive in a virtual environment while maintaining high levels of productivity and accuracy. Your contributions will help optimize our supply chain processes, reduce bottlenecks, and ensure the timely availability of components and products, directly impacting our operational efficiency and customer satisfaction. Key Responsibilities

  • Assist with data entry and maintenance of supply chain databases, including vendor information, purchase orders, and inventory records.
  • Generate and distribute various supply chain reports, including inventory levels, order status, and supplier performance metrics.
  • Communicate virtually with suppliers and internal teams to follow up on orders, resolve discrepancies, and ensure timely deliveries.
  • Track shipments and update logistics information, coordinating with freight forwarders as needed.
  • Support inventory management activities by reconciling stock levels and assisting with cycle counts virtually.
  • Prepare and process supply chain documentation, such as invoices, shipping manifests, and customs forms.
  • Identify and flag potential supply chain issues or delays, collaborating with the team to find proactive solutions.
  • Contribute to continuous improvement initiatives within the supply chain department.

Required Skills

  • Proficiency in Microsoft Office Suite, particularly Excel (data analysis, pivot tables, VLOOKUP).
  • Familiarity with ERP/MRP systems (e.g., SAP, Oracle, JD Edwards).
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively in a remote setting.
