[Remote] Operations Coordinator (Job ID: JACJO1)

They are seeking an Operations Coordinator to manage workflows, improve data visibility, document processes, and ensure effective communication between leadership, marketing, and manufacturing teams. Responsibilities • Manage and organize the Founder’s inbox and additional email accounts using an inbox zero approach • Flag urgent items, draft responses, and ensure no tasks are missed • Coordinate meetings and manage the Founder’s calendar to prioritize high-impact activities • Identify action items within email threads and transfer them into Notion for tracking • Manage weekly time tracking for manufacturing and shipping teams using Rippling • Verify reported hours, follow up with team members for clarification, and assist with weekly payroll preparation • Build, document, and maintain SOPs and task lists within Notion • Consolidate and analyze weekly customer support tickets to identify trends and improvement areas • Download and analyze operational data to create win/loss and performance visibility reports • Act as a communication bridge between the Founder, marketing team, and manufacturing floor • Support inventory management and operational updates with Spanish-speaking factory staff Skills • C1 ENGLISH LEVEL IS REQUIRED, THE SELECTED CANDIDATE WILL BE SPEAKING STRICTLY IN ENGLISH DURING THEIR WHOLE SHIFT • Native or near-native English proficiency, written and verbal • Strong experience with Notion or similar project management tools • Ability to create and maintain organized databases, documentation, and workflows • AI-first mindset with comfort using AI tools to automate repetitive tasks • Proven experience in executive assistance or operations roles, preferably in U.S.-based e-commerce or manufacturing environments • Proactive problem-solving approach with strong attention to detail • Growth-oriented mindset with interest in developing into an Operations Manager role • Fluent or conversational Spanish preferred for factory communication • Familiarity with payroll or HRIS systems, with Rippling experience highly preferred Company Overview • Inside Out empowers growth-focused small businesses with elite support services that drive scale, boost margins, and reclaim valuable time.
