Position Title: Office Coordinator (Part-Time, On-Site)

Location: Glen Rock, NJ (Part-time onsite position)

What You’ll Do

The Office Administrator (Part-Time, On-Site) plays a key role in ensuring the smooth daily operations of the workplace while supporting executive administrative needs. This position provides onsite support for visitors, employees, and office functions, manages essential office processes such as supplies, workspace coordination, and assists with building access, mail distribution, and company vehicle administration. This role is ideal for a highly organized, proactive individual who thrives in a fast-paced environment and enjoys being a central point of contact within the office.

Key Responsibilities

Office Administration

  • Welcome and assist office visitors, maintaining a professional and inviting environment.

  • Order and maintain office supplies, ensuring proper stock levels.

  • Clean and maintain the office coffee machine daily and order milk weekly.

  • Receive, sort, and distribute daily mail and deliveries; scan mail for employees based in other office locations.

  • Oversee the company’s shared email inbox, ensuring timely review, response, and/or distribution of inquiries.

  • Schedule and prepare conference rooms for meetings as needed.

  • Maintain the office seating chart, prepare workspaces for new employees, and create name tags as needed.

  • Coordinate holiday office decorations and seasonal office needs.

  • May need to provide assistance for Chairman and CEO when in the office

  • Order business cards for the leadership team as needed.

  • Support special projects as assigned.

Building & Office Access Management

  • Request, issue, and track access cards for employees.

  • Manage replacements, deactivate lost cards, and maintain accurate access records.

Company Vehicles Support

  • Serve as the primary point of contact for company vehicle deliveries to the office.

  • Act as a key holder for company vehicles based in the Glen Rock, NJ office.

  • Occasionally distribute vehicle-related documents (registrations, plates, insurance cards).

Essential Skills, Experience & Education Requirements

  • 1–3 years of experience in office administration or similar roles.

  • Strong communication and customer-service skills.

  • Excellent organization and multitasking abilities.

  • High attention to detail and accuracy.

  • Proficient in Microsoft Office.

  • Ability to handle confidential information with professionalism.

  • Able to sit for an extended period of time; occasionally bend, twist, lift and carry at least 10 pounds.

  • Use of keyboard, mouse, and phone.

  • Reliable transportation to work in-office and support work-related tasks.

  • Consistent availability during the scheduled work hours.

Work Environment and Schedule

  • Part-time onsite position working 20–25 hours per week.

  • Preferred schedule: 4–5 hours per day, Monday–Friday, between 9:00am - 3:00pm window.

  • Some flexibility may be required for executive meetings, visitors, or office events.

  • Regular interaction with employees, executives, visitors, vendors, and delivery personnel.
