Office Administrator/Receptionist

Job Summary

We are seeking a highly organised and reliable Administrator to support the day-to-day operations of our busy estate agency. This role is essential in ensuring the smooth running of the office, maintaining accurate records, and supporting the lettings and sales teams.

The ideal candidate will be detail-oriented, efficient, and comfortable handling large volumes of data entry, documentation, and communication with clients, tenants, and contractors.

Key ResponsibilitiesAdministrative Duties

  • Accurate data entry and maintenance of property records on internal systems and portals
  • Preparing and updating property listings on websites such as Rightmove, Zoopla, and internal CRM systems
  • Managing electronic and paper filing systems
  • Drafting letters, emails, and tenancy documentation
  • General office administration and support

Property and Tenancy Administration

  • Preparing tenancy agreements and associated documentation
  • Uploading compliance documents (EPC, Gas Safety, EICR, etc.)
  • Monitoring key dates such as tenancy renewals, compliance expiry dates, and inspections
  • Assisting with referencing and onboarding tenants
  • Maintaining accurate landlord and tenant records

Communication and Coordination

  • Answering telephone calls and responding to email enquiries professionally
  • Liaising with landlords, tenants, contractors, and suppliers
  • Booking property viewings, inspections, and maintenance appointments
  • Supporting property managers and negotiators with administrative tasks

Compliance and Record Keeping

  • Ensuring property files are complete and compliant
  • Updating compliance trackers and internal systems
  • Maintaining confidentiality of sensitive client information

Requirements

Essential:

  • Previous administrative experience
  • Strong data entry skills with excellent attention to detail
  • Good organisational and time management skills
  • Professional telephone manner
  • Good written and spoken English
  • Competent in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and as part of a team

Desirable:

  • Experience in estate agency or property management
  • Familiarity with property software (e.g. Reapit, Alto, Jupix, CFP, Arthur, or similar)
  • Understanding of tenancy processes and compliance requirements
