Mail Services Operations Coordinator

Eckerd College is currently hiring for the position of Mail Services Operations Coordinator to join our enrollment management team at our waterfront property along the Boca Ciega Bay in St. Petersburg, Florida, in our relationship-focused community. This is a front-line service position that provides assistance to students, staff, and faculty in the handling of their postal and shipping needs.

The Mail Services Operations Coordinator will assist with the administration and operations of Mail Services receiving, delivering, and processing of all incoming and outgoing mail from multiple carriers. This position is responsible for providing a range of complex operations support functions under the direction and supervision of the Mail Services Supervisor.

The role requires the incumbent to have proven ability to read, interpret, organize, and apply basic clerical skills as well as the basic skills in Microsoft Office (Word, Excel, Power Point and Outlook).

Key Responsibilities

  • Supervises student work staff in the daily processing of all incoming and outgoing mail to include the sorting and processing of all incoming packages through the package tracking system.

  • Provide backup transportation services via golf cart or van as necessary in the absence of clerical staff.

  • Supervise and train student employees (work study and regular staff) in the operation of meter machines, tracking systems, stamp sales, and proper cash management procedures.

  • Assist with processing of packages for overnight delivery and special handling through UPS, FedEx, DHL, and USPS as well as coordinating student staff in the daily completion of these responsibilities.

  • Supervise student employees and assist with sorting, processing, shipping, receiving, and bulk mail preparations.

  • With approval from Mail Services Supervisor, develop daily, weekly, and monthly processes for mailroom operations and implement them to improve efficiency and accuracy.

  • Plans and tracks all student employee schedules to ensure student workers do not exceed budgeted funds for mailroom student positions.

  • Evaluates student worker course schedules to coordinate student work schedules to ensure work study hours do conflict with academic requirements or federal regulations.

  • Assumes full responsibility for the Mail Services Department in the absence of the Mail Services Supervisor.

Qualifications

  • Associate’s degree or 2 years of relevant experience. The equivalent combination of education and experience may be substituted in lieu of a degree.

  • Must possess a valid Florida driver’s license and a clean driving record.
