Human Resources Administrator

Circle of Care is a healthcare organization seeking a Human Resources Administrator to support their HR team in various administrative functions. The role involves managing employee benefits programs, utilizing the Ceridian Dayforce platform, and contributing to health and safety operations within the organization.

Responsibilities

  • Administering benefits set up for eligible employees in the corresponding benefit plan through HRIS (Dayforce), our insurance providers and internal stakeholders
  • Conducting benefit orientation for new hires and current employees as needed
  • Maintain accurate and complete employee benefit databases, files and records, and update employee benefit plan information as necessary
  • Review and maintain monthly benefit summary statements for all benefit plans and liase with internal stakeholders accordingly for discrepancies in billing or employee information
  • Review and maintain monthly reports on benefit plans, unionized employee eligibility and additional tracking for year end benefit eligibility as per the collective agreement
  • Process employee updates/changes (dependents, beneficiaries, terminations, etc.) with stakeholders and insurance providers
  • Respond to and support the resolution of benefit inquiries including working with insurance providers to resolve employee claims and coverage issues
  • Contact and discuss benefit options for employees on extended LOA, Maternity/Paternity leaves, medical leaves, educational leaves, personal leaves etc
  • Educate employees on benefits and programs using our communications channels
  • Other ad hoc benefit duties/projects as assigned
  • Review and approve employee status change forms on Dayforce according to the appropriate pay periods
  • Support the maintenance of the Dayforce platform as a technical expert applying best practices
  • Work closely with stakeholders as needed to test and implement efficient solutions
  • Help users with queries regarding processes, resolving user access issues, general support with using the system, basic troubleshooting requiring system configuration knowledge
  • Support and monitoring of our Dayforce ticketing system for issues and document resolutions
  • Support Dayforce feature release updates and enhancements
  • Schedule/run routine and ad hoc Dayforce reports and maintain data integrity as required
  • Respond to internal and external Human Resources inquires and refers matters to appropriate members of the team
  • Support with WSIB claim management as needed including general filling, entering employee time sheets, completion of Form 7’s and Employer Progress reports, and general correspondence with the WSIB
  • Provide support and guidance to internal stakeholders when it comes to managing employee LOA requests
  • Support with employee off-boarding including terminations and leave of absences
  • Maintain contact with employees that are off work on a LOA and facilitate return back to work
  • Provide support with HR related services and programs as needed
  • Provide support for Applause on user account queries, preparing point upload files and assist with program campaigns
  • Provide support to employees who are off work due to non-occupational illness/injury, including filing medical notes, confirming return to work details, and administering payment by utilizing the request management tool for sick time
  • Administer the medical assessment program for non-union employees, including sending out the medical assessment package for new hires, tracking immunizations and following up with employees
  • Provide support with health and safety services and programs as needed, including supporting the JHSC and WSIB’s Health, Safety and Excellence Program
  • Provide support with Employee Wellness and Diversity, Equity and Inclusion programs and initiatives
  • Participating in health and safety processes and procedures
  • Participating in maintaining a safe workplace environment by cultivating a positive safety culture and encouraging best practices to promote both staff and client safety and well-being
  • Participating in all health and safety training initiatives on a regular basis
  • Taking proactive action against client incidents within your scope of practice
  • Protecting the wellbeing of staff by providing a safe and healthy working environment
  • Promoting a culture of safety by being responsible for encouraging blame-free reporting

Skills

  • University degree in Human Resources, or a related business discipline
