AI Workflow Architect & Implementation Lead

About HDS HDS is a leading distributor of promotional products, corporate apparel, and print. We pride ourselves on delivering high-quality solutions to our clients while maintaining strict quality control and operational efficiency across our headquarters and physical production facilities, including X-Deco and CenturyPak. We are seeking an innovative, hands-on AI Workflow Architect to join us on-site and build the next generation of our internal operations.

The Role We are not looking for a consultant to tell us what AI can do; we are looking for a builder who will actually implement it.

As our AI Workflow Architect, you will have a mandate to review, analyze, and overhaul repetitive business tasks across every department in our organization. You will identify bottlenecks, design automated solutions, and write the code or integrate the tools necessary to bring those solutions to life. Your primary goal is system consolidation—specifically transitioning and automating workflows into our unified ERP platform (Antera)—eliminating preventable mistakes, and giving our team the tools they need to scale efficiently.

Key Responsibilities

  • Comprehensive Workflow Auditing: Autonomously evaluate repetitive tasks across the company to identify high-impact opportunities for AI automation.
  • Sales & E-Commerce Automation: Implement AI-driven tools for prospecting, generating dynamic product proposals, building e-commerce stores, and managing vast catalogs of product data.
  • Creative & Production Art Integration: Streamline the graphics department by deploying AI solutions that assist in generating client mock-ups and formatting precise production art for our sister facilities.
  • Order Processing & Vendor Relations: Build automated pipelines to process incoming orders and seamlessly distribute accurate, required production data to our vendor partners.
  • Accounting & Back-Office: Integrate AI into our financial workflows, specifically targeting vouching, invoicing, and reconciliation processes within our ERP.
  • Data & Reporting: Develop automated data collection and reporting mechanisms that provide leadership with real-time, actionable insights.

What We’re Looking For

  • A "Builder" Mentality: You must have the technical capability to build, test, and deploy AI tools, APIs, and automation scripts directly into our existing operational infrastructure.
  • Deep AI Expertise: Strong, up-to-date knowledge of current Large Language Models (LLMs), AI agents, machine learning applications, and automation platforms.
  • Process & ERP Oriented: A deep appreciation for standard operating procedures (SOPs), data-driven decision-making, and creating single sources of truth. Experience with Antera or similar complex ERP migrations is a massive plus.
  • Passion for Growth: A genuine drive to test the bleeding edge of what AI can do for a physical goods business.
  • Cross-Functional Communication: The ability to work directly with every department—from sales and art to accounting and production—to understand their unique pain points.

Requirements

  • Proven portfolio or track record of successfully implementing AI/automation tools in a corporate, manufacturing, or operational environment.
  • Must be able to work 100% on-site at our headquarters in Robinson, PA.

Benefits:

  • Competitive base salary with milestone and efficiency bonuses based on operational ROI.
  • Comprehensive Health, Dental, and Vision insurance.
  • Health Savings Account (HSA) with employer contribution.
  • 401(k) with company match.
  • Generous PTO to ensure work-life balance and prevent burnout.
  • Dedicated R&D budget for API access, software tools, and top-tier hardware.

To Apply: Please submit your resume along with a brief description of a specific business process you have successfully automated or an AI tool you have built from the ground up.

Pay: $130,000.00 - $150,000.00 per year

Benefits:

  • 401(k) matching
  • Dental insurance
  • Health insurance
  • Paid time off
  • Vision insurance

Application Question(s):

  • Describe a specific instance where you integrated a Large Language Model (LLM) or AI tool directly into an existing business system (like an ERP, CRM, or custom database) using an API. What was the technical stack you used, and what was the measurable outcome?
  • Our operations involve managing high volumes of unstructured data from various vendors (e.g., PDF invoices, differing email formats, varying production art specs). High-level, how would you architect an automated pipeline to extract, validate, and push this data into a centralized ERP system without human intervention?
  • This role requires daily, hands-on implementation and deployment, not just high-level strategy. Can you provide a brief example of an automation script, internal tool, or workflow you personally built from scratch (not just managed a team to build) that eliminated a repetitive business task?

Work Location: In person
