Administrative/back-office Assistant

AZ Sleep & TMJ Solutions is seeking a motivated, organized, and patient-focused Administrative Assistant/Back Office Assistant to join our growing team in Scottsdale, Arizona. This unique position is ideal for someone who enjoys both administrative work and hands-on patient interaction, as the role will include a combination of front office responsibilities and chairside/back-office support with the doctor.

Our practice specializes in sleep and TMJ care and is dedicated to providing exceptional patient experiences through education, communication, and high-quality treatment.

Schedule

Monday: 8:00 AM – 5:00 PM
Tuesday: Off
Wednesday: 6:30 AM – 3:30 PM
Thursday: 8:00 AM – 5:00 PM
Friday: 8:00 AM – 4:00 PM

Hours: Approximately 35–40 hours per week
We offer some flexibility with days and hours depending on the needs of the practice and the right candidate.

Position Overview

This position is a hybrid role that supports both the administrative/front office side of the practice and the clinical team. The ideal candidate will be comfortable interacting with patients, discussing treatment plans, and assisting the doctor chairside when needed.

The Administrative Assistant plays a key role in ensuring patients have a positive experience from their first interaction through treatment completion.

Key Responsibilities

Administrative / Front Office Duties

  • Greet and assist patients in a professional and friendly manner
  • Answer phones and schedule patient appointments
  • Maintain and manage the daily office schedule
  • Collect patient payments and discuss financial responsibilities
  • Communicate with patients regarding treatment plans and help guide them toward moving forward with recommended care
  • Maintain accurate patient records and ensure HIPAA compliance
  • Utilize computer systems including Microsoft Word and Excel
  • Assist with marketing and outreach initiatives

Clinical / Chairside Support

  • Assist the doctor during patient appointments
  • Support back-office clinical workflows as needed
  • Prepare treatment rooms and ensure proper setup
  • Be comfortable working in a clinical setting and assisting during procedures
  • Work closely with the doctor to help ensure a smooth and efficient patient experience

Qualifications

  • 2+ years of experience in a medical or dental office required
  • Strong computer skills including Microsoft Word and Excel
  • Excellent communication and patient interaction skills
  • Ability to multitask and stay organized in a fast-paced environment
  • Strong attention to detail and commitment to patient confidentiality
  • Comfortable assisting chairside and working in a clinical environment
  • Positive attitude and strong work ethic
  • Team-oriented with a willingness to learn
