Administrative Assistant (12-month FTC)

<p><strong>Description </strong>The overall purpose of this role is to provide support for the team and to ensure the smooth and efficient running of the administrative aspects of the team’s caseload, ensuring a high level of quality and accuracy at all times.</p><p><br></p><p><br></p><p><strong>Key Responsibilities </strong></p><ul><li>Set up new matter files in hard copy and on the file management system, including policy documements and diarising of file reviews.</li><li>Handle all basic procedural checks and actions on new files and ensure that files are distributed to Claims Handlers.</li><li>Conduct conflict searches on new files internally.</li><li>Chase up information relating to the case as required.</li><li>Assist claims handlers and supervisors with their daily To Do List.</li><li>Assume responsibility for basic financial administration and transactions relating to the case eg requesting payments, dealing with accounts queries, office debits.</li><li>Maintain accurate management and client information on an ongoing basis, in line with client protocols. Generate monthly reporting on cases for client review, using Excel and renewal reports as requested.</li><li>Conduct billing administration, with input from case managers as required.</li><li>Conduct post completion administration, including the archiving of closed files.</li><li>Undertake basic clerical tasks on behalf of the team eg electronic filing, updating records and photocopying.</li></ul><p><br></p><p><strong>Skills, Knowledge and Expertise </strong></p><p><br></p><p>Technical Skills & Experience:</p><ul><li>Educated to GCSE level or equivalent with minimum C grade passes in Maths and English.</li><li>Previous experience in an administrative role is essential. Ideally, this would be within a professional services environment.</li><li>IT literate with a good working knowledge of Word and Excel.</li><li>Knowledge/previous experience of database systems would be an advantage.</li><li>Good keyboard skills are also essential.</li></ul><p>Personal Skills:</p><ul><li>Quality and customer service oriented with a concern for accuracy and an eye for detail.</li><li>Enthusiastic and flexible.</li><li>Willing to contribute and support others as part of a team effort.</li><li>Able to work to deadlines and prioritise own workload effectively.</li><li>Able to progress tasks using own initiative, seeking guidance and input from others where appropriate.</li><li>Confident oral and written communication skills.</li></ul><p><br></p><p>We are happy to talk flexible working with our Flex Forward scheme.
